Run the report
- Click DPR in the menu.
- Pick the Commodity. Only grains with a saved Site Config are listed.
- Set Start Date and End Date. They start at the 1st of this month and today.
The report refreshes when you change any of the three. Your last choices are remembered on that computer. Days with no activity are left out. If nothing happened in the range, you get No daily position data found.
Read the report
The first row, Opening, carries everything before the start date, including customers’ starting balances. Every figure is bushels. There are two tables.
Report #1 — Daily Position
- Received and Loaded Out are that day's bushels in and out. Total Stock is the running balance: received minus loaded out.
- Issued and Cancelled are that day's warehouse receipts. Total under Warehouse Receipts is the running bushels on receipts still active.
- Open Storage is grain held for customers with no receipt. Increase and Decrease are the net change since the row above, not a list of events. Total is the running balance.
Report #2 — Warehouse Owned Grain
- Cash, Contracted Not Paid and Price Later are running totals of bushels the elevator bought, by the Contract Type on each sale to the site.
- Total Elevator Owned is those three added up, minus all hauls. Customer haul-outs aren’t taken off here.
The two tables tie together:
Open Storage = Total Stock − receipts Total − Total Elevator Owned
What counts
- Closed loads only, on the day of the delivery in your site's local time. Open loads don't count.
- Hauls count on the haul date. A haul with no date counts on the day you entered it. Hauls assigned to a sale, unapplied, and over the contract all count in full.
- Sales count on the invoice date, in the column for their Contract Type. A spot sale shows as Received and Cash the same day, so Open Storage doesn't move.
- Contract grain stays in Open Storage until you settle the contract. Settling creates the invoice and moves the bushels to Contracted Not Paid.
- A haul lowers Total Stock and Total Elevator Owned by the same amount. Open Storage doesn't change. A market sale does nothing until a haul is logged.
- A customer haul-out counts in Loaded Out on its date once closed. It lowers Total Stock and Open Storage. Total Elevator Owned doesn't change: it was the customer’s grain.
- Test customers are left out of loads, sales and receipts.
- Past days don't change at season end. Sales from customers archived in the cleanup still count.
Issue a warehouse receipt
- Click Warehouse Receipts in the menu, then Issue New Receipt. The Issue New Warehouse Receipt window opens.
- Enter the Receipt Number, pick the Customer and Commodity, enter Volume (bushels), and pick the Issued Date. Notes is optional.
- Click Issue Receipt.
On the issued date, Issued and Total go up and Open Storage goes down by the volume. Total Stock doesn't change.
A receipt needs a number, a customer, a commodity and a volume above 0. If it covers more than the customer has stored without a receipt, or its number is already used, a yellow warning appears in the window instead. Check the customer's balance, tick I've checked. Issue this receipt anyway., and click Issue Receipt again.
Find and cancel a receipt
Each receipt is a card showing WR #, customer, volume and dates. Search by receipt number or customer name, or filter by Commodity and Status (Active, Cancelled, or All). The list shows the newest 10. Showing 10 of 42 tells you when more match.
- Click Cancel Receipt on the card.
- Confirm. The card turns to Cancelled with today's date.
The cancelled date is always today, and a cancel can't be undone. On that day Cancelled goes up, Total comes down, and Open Storage goes back up. The original issue stays on its own day.
Receipts can't be edited or deleted. To fix a wrong one, cancel it and issue a new one.
Click Print at the top of the report. It prints landscape with the commodity and date range at the top. The menu and date boxes are left off.
Common problems
- A load is missing. It's still open, or its delivery date is on a different day than you expected. Only closed loads count.
- Open Storage is negative. Receipts, sales to the site, or hauls add up to more than the loads received. Look for a receipt issued for too many bushels.
- A sale is in the wrong column. Edit the sale and change Contract Type. The report updates on the next refresh.
