When to use it
Use an unapplied haul when you have more than one open sale for the same grain and the buyer's settlement sheet will tell you which one the load filled. If you already know the sale, log the haul with Add Haul on that sale's card instead.
Log the haul the day it ships
- Open Site Summary from the menu and scroll to Sold Bushels. The Unapplied Hauls card (marked No Contract) sits below your sale cards.
- Click Add Haul on that card. The Add Unapplied Haul window opens.
- Pick the Commodity and enter Volume (bushels) and Haul Number. Date is optional.
- If an outside trucker hauled it, pick the Trucker and fill in Destination and the rate, the same as any haul (see Trucker settlement). Leave it blank for your own truck.
- Click Add Haul.
The bushels come out of your site's available inventory right away and count as delivered. No sale gets credit for them yet. The card shows the bushels and haul count for each commodity, plus how many are still unreconciled. If you picked a trucker, the haul's cost goes on that trucker's open invoice now.
Assign it when the settlement arrives
- On the Unapplied Hauls card, click View Hauls.
- Click Edit on the haul.
- In Contract, pick the sale. Each one shows the buyer and how many bushels are left, or (fulfilled).
- Enter the Settlement # from the buyer's sheet.
- Click Save.
The haul moves onto that sale. The sale's delivered bushels and your site totals update together, so there's nothing else to change. The settlement number shows under the haul number in haul lists.
Mark it reconciled once you're paid
- Open the haul list: View Hauls on the sale's card, or on the Unapplied Hauls card if it isn't assigned yet.
- Click Edit on the haul.
- Check Reconciled (paid) and click Save.
The haul shows a Reconciled badge. Its volume and contract can't be changed, and it can't be deleted. A sale with reconciled hauls can't be deleted either. To fix a mistake, edit the haul, uncheck Reconciled (paid), and save the correction.
Assigning and reconciling are separate steps. A haul can sit on a sale for weeks before the check clears, and you can reconcile a haul that is still unapplied.
Common gotchas
- Only sales of the same grain are listed. The commodity can't be changed after you save the haul. If you picked the wrong one, delete the haul and add it again.
- Fulfilled sales are listed too. Check the bushels left before you pick a sale, or you'll put it over its contracted amount.
- A sale with more hauled than sold can still be edited. You can change the notes, buyer and other details. Its volume can't go below what's been delivered: Volume cannot be less than delivered volume (N), where N is the delivered bushels.
- To move a haul back to unapplied, edit it and set Contract to — Unapplied —.
- A haul whose sale was deleted lands here too. This can happen if the sale was deleted from another computer or browser tab while you were adding the haul. The haul shows a yellow Sale deleted badge and still counts as shipped in your site totals. Click Edit: Contract starts at — Unapplied —, with the note Its sale was deleted. Pick a contract, or save to keep it Unapplied. Pick a sale, or save to leave it unapplied.
- Grain shipped from another elevator. With Off-site storage on, both Add Haul windows and the haul's Edit have a Shipped from list. Pick the facility so the haul comes off its count instead of your home bins. See Off-site storage.
- An empty card means you're caught up. When the card reads No unapplied hauls, every load that left your yard is assigned to a sale.
