Spot sales

A spot sale pays the farmer today’s cash price for grain. Sell a load as it crosses the scale, or sell bushels the farmer already has in storage.

Before you start Set Basis ($/bu), In-Fee ($/bu), and Checkoff Rate in Site Config for each grain. A sale at the scale uses them as they are when the load closes.

Sell a load at the scale

  1. Go to Scale and click New Delivery, or click Edit on an open load.
  2. Under Destination, pick Spot.
  3. Enter the market price per bushel in Price (Bushel Price on an open load). The site’s basis is added to it, so don’t enter the cash price here.
  4. Save, weigh and grade the load as usual, then click Close.

Closing creates a sales invoice for each owner (one per customer on a split load), dated the delivery day. The bushels never go on the farmer’s storage balance, no storage is charged, and the drying charge comes straight off the payment instead of going on a drying invoice. The printed ticket lists Gross Sale, Basis, In Fee, Drying, Checkoff, and Net Settlement.

For example, 1,000 bu of corn at a price of $4.10, basis −$0.40, in-fee $0.05, checkoff $0.005/bu, and $120.00 of drying: Gross Sale $4,100.00, Basis −$400.00, In Fee −$50.00, Drying −$120.00, Checkoff −$5.00, Net Settlement $3,525.00. Corn checkoff is per bushel. Soybean checkoff is per dollar of the cash price (price plus basis) times bushels.

Sell from storage

  1. Go to Customer Balances and click Sell Corn (or the grain you’re selling) on the customer’s card.
  2. If the farmer has contracts, leave Apply to Contract on None (spot sale).
  3. Enter Volume (bushels). The form shows what’s available; Use Max fills it in.
  4. Check Invoice Date. It starts at today.
  5. Enter Market Price ($/bu). Left blank, it is $0.00. Basis ($/bu) and In-Fee ($/bu) are filled from Site Config; change them for this sale if needed.
  6. Set Payment Status and, if you have them, the check and settlement numbers.
  7. To take unpaid drying or storage off this payment, open Deduct Unpaid Drying & Storage and tick them. They are marked paid when the sale saves.
  8. Click Create Invoice.

The bushels come off the farmer’s balance, checkoff is taken at the Site Config rate, and the sale is listed under Sales Invoices on the Invoices tab of the customer’s page. Bushels sold before a month-end storage bill has covered them also get a minimum storage charge at the Minimum Storage Charge rate.

Sales dated in the past

A sale dated before today can’t sell more than the farmer held at the end of that day. Otherwise you’ll see, for example, “Customer held only 0.00 bu of corn on 9/30/2026. Date the sale on or after the delivery.” The same rule applies when you edit a sale onto another date or raise its bushels.

Re-open a paid sale

A sale marked paid shows Re-open instead of Edit. Click Re-open and confirm. The sale goes back to unpaid, and its check number, payment method, and payment date stay on it. Click Edit to change them. Drying or storage invoices deducted on the sale stay paid. To take one off, click Edit and untick it under Already Applied. It goes back to unpaid, to delete or mark paid on its own. If the check is already written, the new net won’t match it: write a check for the difference or credit it on the farmer’s next settlement.
