How the charge is worked out
A load’s moisture (the average of its readings) sets a rate per bushel, which is multiplied by its bushels. Set the rates for each grain in Site Config under Moisture Drying Charges, then click Save Configuration. Pick a Calculation Method:
- Table (the default). Each row has a Moisture Start, Moisture End and Drying Charge per bushel. A load uses the row its moisture falls in, counting both ends. Between two rows it takes the higher row, and above the last row it takes the last row. It always charges on wet (delivered) bushels.
- Formula. The rate is Base Rate plus each point above Target Dry % times the Per-Point Rate. Loads at or below the Start Threshold (%) pay nothing. Bushel Basis sets whether it charges on Dry Bushels or Wet Bushels. Target Dry % is under Pricing & Drying.
Table example: a corn load nets 28,000 lb at 20.3% moisture. That is 28,000 ÷ 56 = 500 wet bushels. 20.3% falls in a 20.1–20.5 row at $0.28, so drying is 500 × $0.28 = $140.00.
Formula example: with a $0.11 base rate, $0.022 per point and a 15% target, a load at 20% pays $0.11 + 5 × $0.022 = $0.22 a bushel.
A load is charged at the rates in place when it was weighed in or last saved. If you change the rates, closed loads keep their charge. To re-price an open load, click Edit and Save.
How loads roll onto an invoice
Each farmer has one open drying invoice per grain. When you click Close on a load on the Scale page, its drying charge and bushels are added to it. If there is no open one, a new invoice starts, dated that day. After you mark it paid, the next load starts a new invoice.
- On a load split between farmers, each owner’s share goes on their own drying invoice.
- On a spot sale, drying comes off the sale settlement instead.
View and print
- Go to Customer Balances. Click View Details on the farmer’s card.
- Open the Invoices tab. Each invoice is listed under Drying Invoices.
- Click the bushel number to open the Drying Invoice Detail. The Drying Invoice Summary at the top shows the bushels, total and whether it’s paid. Below it, every load on the invoice is listed with Your Bushels and Your Drying Cost.
- Click Print, on the summary or on the invoice’s row in the list. The invoice opens in a new tab with the print dialog.
The printed invoice has your elevator’s name and address, the farmer, the grain and grain year, and a line for each load: Date, Ticket #, Moisture %, Points, Bushels Charged (wet or dry), Rate/Bu and Drying Cost. On a split load it shows the farmer’s share only, marked “your 40% share”. It ends with AMOUNT DUE, or TOTAL DRYING CHARGES (PAID) once it’s paid.
The invoice date is the day its first load closed. An open invoice keeps growing, so each copy also shows Printed on with the day you printed it.
For one statement of everything a farmer owes, click Reports on their card in Customer Balances, choose the Crop Year, and click Open next to Grain Summary.
Mark it paid
- Click Close on the drying invoice, on the farmer’s Invoices tab or on the Drying Invoice Detail.
- Confirm. The badge changes to Paid. To undo, click Re-open.
You can also take it off a grain check. When you sell the farmer’s grain, or edit an unpaid sales invoice, open Deduct Unpaid Drying & Storage and tick the invoice. It is marked paid and the amount comes off the farmer’s payment. Its printout then gives the date of that sale.
Common problems
- A wet load shows no drying charge. Its moisture is below the first table row. A reading between rows takes the higher row: 15.55% falls between rows that end at 15.5 and start at 15.6, so it takes the 15.6 row. A reading above the last row takes the last row. A reading on an edge two rows share takes the higher row.
- A drying invoice for $0.00. The farmer’s first load of that grain since their last paid invoice had no drying charge. Later wet loads add to it.
- No Re-open button. The invoice was taken off a sale as a deduction. Its row and its Drying Invoice Detail show On sale and the sale’s date instead of Re-open. Click it to jump to that sale (it switches to all grain years if the sale is in another one), then click Edit (re-open the sale first if it’s paid) and untick the invoice under Already Applied. It goes back to unpaid.
- A closed load has the wrong charge. Reopen the delivery to fix it. Only that load’s charge comes off the invoice.
