Before you start Deleting is off by default and can’t be undone in the app. Only unpaid invoices can be deleted. A paid one must be re-opened first.
Turn on deleting
- Go to Site Config.
- Under Site Features, turn on Allow deleting unpaid invoices.
- Click Save Configuration.
Delete the invoice
- Go to Customer Balances and click View Details on the farmer’s card.
- Open the Invoices tab and find the invoice under Sales Invoices, Drying Invoices or Storage Invoices.
- Click the trash can button on its row (labelled Delete this invoice when you hover over it).
- Check the dialog. It shows the date, grain, bushels and amount. If the invoice can’t be deleted, the dialog says why and offers only Close.
- Click Delete Invoice.
- Go back to Site Config, turn Allow deleting unpaid invoices off, and click Save Configuration.
What happens to the grain and charges
- Sales invoice. The bushels go back on the farmer’s storage balance and the page reloads. A minimum storage charge the sale created is deleted with it. Drying or storage invoices you deducted on that sale go back to unpaid.
- Storage invoice. Only that charge goes. Running Calculate Storage Invoices for that month again rebuilds it. To remove it for good, correct the deliveries or sales behind it, then recalculate the month.
- Drying invoice. It can only be deleted once no deliveries are billed on it. You rarely need to: reopening a delivery takes its drying charge off, and an invoice left with nothing on it is removed for you.
Common problems
- No trash can button. Allow deleting unpaid invoices is off, or the invoice is paid. Paid invoices show Re-open instead.
- “This invoice is marked paid. Re-open it first, then delete it.” A sale with a Partial payment counts as paid too.
- “This invoice was paid through a sales invoice and cannot be deleted.” The drying or storage invoice was deducted on a sale. Its row shows On sale and the sale’s date instead of Re-open. Click it to jump to that sale (it switches to all grain years if the sale is in another one), then click Edit (re-open the sale first if it’s paid), untick this invoice under Already Applied, and save. It goes back to unpaid and can be deleted.
- “Deliveries are still billed to this drying invoice.” Reopen those deliveries instead.
- “This sale was created by a spot-sale delivery.” Reopen that load on the customer’s Grain In/Out tab. Reopening deletes the sale.
- “This is a contract settlement.” Manage it from the Contracts page.
- “This sale is applied to a contract that has settled.” Click Re-open on the contract on the Contracts page first, then delete the sale.
- “This sale is archived with the customer’s settled account.” Sales from a settled, archived account can’t be deleted.
